Administrative Assistant Intern at Spica in Rotterdam

You will have administrative duties in assisting the sales and purchasing team. As an admin intern, you will collaborate with our sales and purchasing teams in all the stages from placing purchase orders to invoicing. Your insightful contribution will help develop, expand and maintain our business.

  • Je dient ingeschreven te staan bij een hbo of wo opleiding
  • Be proactive and take initiative
  • Be willing to learn
  • Good knowledge of business formalities
  • Command of English, French, Dutch, Spanish, Italian, German, Nordic, Swedish, Finnish, Polish, Czech or Bulgarian
  • Attending a non-technical study program, preferably business related
  • Excellent command or Google for Work
  • Basic knowledge of logistical operations
  • Basic knowledge of CRM / ERP systems

  • Validate data of the existing contacts on the CRM
  • Collect and fill in the missing data of clients and suppliers in the CRM system
  • Enter and update potential opportunities into the CRM system
  • Assist in sales related procedures such as: invoicing and arranging docum
  • Make meeting minutes and prepare administrative documents for internal and external meetings
  • Communicate with customers on the status of the orders
  • Communicate with suppliers and warehouse to provide the sales team with information about the current stock and upcoming arrivals.
  • Conduct market research and presenting the findings in an appropriate manner
  • Update job knowledge by participating in educational improvement opportunities; reading sales and marketing publications; welcoming guests; participate in events with Spica
  • Complete readings in major sectors of sales and marketing, and highlight new market opportunities in Europe (specially, Romania, France, Latvia, and Lithuania)
  • Support in conducting demand for products in our field by providing reports on market updates and changes from industry magazines and similar sources.
